A shipment-status phone workflow is only as useful as the data it can retrieve and explain. Before adding a voice agent, decide which identifier the caller can provide, which system owns the shipment status, and how the team distinguishes an estimate from a confirmed event.
The DCSA Track & Trace documentation provides data and interface standards for container shipping. It is a useful reference for thinking about consistent shipment events. It is not a universal trucking interface or evidence that QuickVoice connects to a particular transportation-management system.
Define a read-only status contract
Start with one shipment type and one authorized data source. Have the operations owner define the output fields and explain their meaning to the implementation team.

Do not combine an internal load number with a similarly formatted customer order number merely because the strings match. An ambiguous match should produce a clarification or a staff request, not a guessed shipment location.
Explain uncertainty in the spoken answer
Prepare separate answers for a current confirmed event, an estimate, missing data, and a failed lookup. A model should not convert an estimated window into a delivery guarantee or infer movement from the passage of time.
For example, an illustrative response might say: “The latest available update lists the shipment at the terminal. I don't have a confirmed delivery time from the source.” Use such wording only if the retrieved record supports it. If the data is stale under your team's policy, identify that limitation and offer the approved next step.
Keep changes separate from lookups
Changing a delivery address, reserving a dock slot, confirming a new appointment, or approving a charge is a write operation. Give each action its own permissions, validation, and destination confirmation. A successful status lookup does not authorize any of them.
For a first pilot, collecting a request for an operations coordinator may be sufficient. The receiving queue needs the shipment reference, caller's requested change, a correlation identifier, and a delivery outcome. Confirm receipt before the agent says that the request has been submitted. Do not describe a requested slot as booked.
Define exceptions with dispatch staff
Ask dispatchers which situations should leave the automated workflow: a disputed delivery, conflicting records, a reported accident, damage, temperature concerns, or a caller asking for someone else. Use their approved contact procedures, including what happens when the intended team is unavailable. Do not promise a live transfer unless the telephony path has actually been implemented and tested.
For any driver-facing communication, have the operations team define safe contact practices and appropriate channels before use. A pilot does not need to solicit updates from a person who cannot safely engage in a call. Keep operational urgency from becoming an instruction to take unsafe action.
Test against imperfect records
Use synthetic examples with an incorrect identifier, multiple matches, an old event, a changed estimate, a missing time zone, and a backend outage. Compare the spoken answer with the exact source response. Test a repeated request and confirm that it does not create duplicate follow-up work.
Measure verified status answers, requests delivered to staff, corrections, and repeated contacts. An answered call alone does not prove that a shipment question was resolved.
